Confirm the status first
Check that the estimate is current and has not already been accepted, declined or replaced. Assign one owner to the conversation. Duplicate follow-ups from the office and an automated sequence create avoidable confusion.
Give the customer a reason to reply
Offer clarification on scope, materials or the next step. Keep the message short and specific to the actual estimate. Have your team review drafts before enabling any unattended sending.
Make stopping dependable
Test replies, unsubscribe requests and changes to the quote. Record opt-outs in the same system that drives the sequence. Review outcomes and complaints together so that a short-term response lift does not hide a worse customer experience.
Make the next step practical.
Tell us what you do, where the work gets stuck, and what a useful result would look like. Start there.
