01

Start with one repeatable task

Pick something frequent and easy to describe: turning an approved intake record into a callback task, preparing a daily job summary or collecting missing paperwork. Document the current steps and what a good result looks like.

02

Work with the tools you already use

Review exports, permissions and supported APIs before assuming two systems can connect. Keep access limited to the data and actions the workflow actually needs. A tool logo is not evidence of a verified integration.

03

Build for the awkward cases

A dependable workflow needs retries, duplicate protection and a visible failure queue. Decide who responds when information is missing. Compare time per task and error rates before and after the pilot, using the same definition of done.

Make the next step practical.
