Start with the calls you miss
Map what happens when your team is with a client, on a job, serving guests or away from the office. Record the questions your team needs answered before a callback. An intake workflow is only useful if those details reach someone who can act.
Design the human handoff
Define emergency language, escalation contacts, service areas and operating hours before choosing a tool. Do not let an automated system diagnose hazards, commit prices or promise availability. Let the caller know when they are interacting with automation.
Prove it with a small pilot
Use fictional enquiries first. Check names, callback numbers, duplicates and routing. Then measure completed intake, time to human response and enquiries that never reached the right person. Review recordings or transcripts only with appropriate consent and access.
